Automatic appointment scheduling with reminders and calendars

An automatic scheduler works when it uses one source of availability, respects the business time zone, and confirms only after creating the event. The flow must cover new appointments, rescheduling, cancellation, and failures. Reminders are a later stage: they help customers, but they cannot fix an inaccurate calendar.

Five parts of a reliable scheduler

Scheduling is more than a calendar view. It needs service rules, duration, opening hours, blocked times, and a stable customer identity. With multiple locations, each one must query the correct source.

  • Current, real availability.
  • Duration and buffers by service.
  • An explicit business time zone.
  • A stable identifier for rescheduling or cancellation.
  • Confirmation based on the tool result.

What goes to Google Calendar

The native Google Calendar connection reads availability and creates events in the calendar authorized by the owner. An event generally has a title, start, and end, and may include additional details depending on configuration.

Connect only the account and calendar used by the business. Then test a controlled creation, reschedule, and cancellation, and verify the outcome in both Atendalia and Google Calendar.

Confirmations and reminders

A confirmation should repeat date, time, service, and location. The reminder follows according to the business rules. If an appointment moves or is cancelled, every later message must reflect the new state.

Test ambiguous dates, daylight-saving changes, and customers writing from another time zone. Language, country, currency, and time zone are separate signals.

Acceptance test before launch

Use a test calendar or a controlled window. Send two requests for the same time, force a tool failure, and verify that success is never announced without an event. Then review links, localized dates, and the history visible to staff.
